How to care for a water softener

A water softener asks for one thing on a schedule, salt, and one thing once, the right hardness setting. Most problems come from skipping one of the two.

A water softener needs salt in its brine tank, kept between a third and a half full and checked every month, and a correct hardness setting entered once. Once a year, break up any salt bridge, clean the brine tank, and check that the unit regenerates on its schedule. That is nearly all the maintenance a conventional softener asks for, and a softener that gets it lasts a long time.

A water softener removes the calcium and magnesium that make water hard by passing the water through a tank of resin beads that trade those minerals for sodium (or potassium). When the resin is full, the unit regenerates: it flushes the resin with brine from the salt tank, sends the minerals down the drain, and starts over. Hard water scales the water heater, the fixtures, the dishwasher, and the coffee maker; soft water does not.

What is the monthly salt check?

Once a month, lift the brine tank lid and confirm the salt is between a third and a half full and above the water line, poke it to break any bridge, top it up with the salt type the manual names, glance at the controller's clock and next regeneration, and now and then dip a hardness strip at the kitchen tap. Five minutes, and it is most of what a softener needs.

  1. Lift the brine tank lid and look. Salt should be visible and between a third and a half full. Done when: you can see the salt level and it is above the water.
  2. If the level has not dropped since last month, poke the salt with a broom handle. If the handle meets a crust and then drops through to a gap, that is a salt bridge; break it up gently until the salt falls into the water below.
  3. Add salt if needed, to the manual's level. Use the type the manual specifies.
  4. Look at the controller. Note the time and the next scheduled regeneration; if the clock is wrong after a power outage, the unit may regenerate at 2 p.m. instead of 2 a.m., which is a nuisance more than a fault, but fix the clock.
  5. Test the water once in a while. Hardness test strips are inexpensive; a strip that reads hard at the kitchen tap a day after regeneration means the unit is not working.

What is the yearly clean and settings check?

Once a year, empty and wash the brine tank, check the float in the brine well, refill with fresh salt, confirm the hardness setting on the controller matches your water, check the drain and overflow lines and the bypass valve for leaks, and consider the resin's age. It is about an hour, and the hardness setting is the part that decides whether the salt you buy does anything.

  1. Let the salt run low, or scoop it out, so you can reach the bottom of the brine tank. Check the manual before removing the brine well (the tube with the float inside); note how it sits.
  2. Scoop out the sludge at the bottom, which is dirt and insoluble matter from the salt. Wash the tank with warm water and a little dish soap, rinse well, and dry. Do not use bleach unless the manual calls for it.
  3. Check the float in the brine well moves freely; a stuck float overfills or starves the tank.
  4. Refill with fresh salt to the correct level.
  5. Confirm the hardness setting. The controller has a hardness number in grains per gallon (or the manual's units); it should match your water. If you are on municipal water, the utility publishes hardness; if you are on a well, the last water test has it, or a test strip gives a rough number.   6. Check the drain line and the overflow line run to a drain and are not kinked. Look for any leaks at the bypass valve and the connections.
  7. Look at the resin tank's age. Resin wears out; if the softener is more than a decade old and salt use has climbed while softness has dropped, the resin may be due for replacement, which is a service call.

What are the signs it is not working?

Spots on glasses and scale at faucets returning; soap not lathering; salt level that never drops (a bridge, or the unit is not regenerating); salt use that has suddenly jumped (a stuck valve regenerating too often, or a leak); water that tastes salty (a valve problem sending brine through); the unit regenerating at the wrong time or constantly. The first two are a salt or settings problem; the rest are usually service calls.

When should you stop and call a pro?

Call a water treatment technician if the unit regenerates constantly or not at all, if brine or salty water is reaching the taps, if the resin tank leaks, if the bypass valve is stuck, or if hardness returns with the tank full and the settings correct. Do not open the control valve head yourself; the parts are small and specific. If the softener is on a well with iron or sediment, a pre-filter may be needed ahead of it, and a technician can size it.

What should you record?

The salt level and date each month, the type of salt, the hardness setting, the cleaning date, and the unit's model and install date. A salt log is how you notice the sudden jump that means a stuck valve. Set the monthly check and the yearly clean as recurring tasks. Soft water is also why the water heater flush gets easier: less scale.

The kind the manual names. Pellets or cubes are the usual choice for most units and bridge less than rock salt. Potassium chloride works in most softeners for households limiting sodium, at a higher cost and sometimes a settings change. Do not mix types in one tank.
