Privacy Policy

This policy explains what Property Station collects, why, who processes it on our behalf, and the choices you have. It is written to be read.

Property Station LLC ("Property Station", "we", "us") operates propertystation.com and the Property Station application (together, the "Service"). This policy applies to everyone who uses the Service: homeowners, builders and their team members, and visitors to the website.

If anything here is unclear, write to support@propertystation.com and a person will answer.

What we collect

Account information. When you create an account we collect your name, email address, and a password (or, if you sign in with Google, the name and email Google shares with us). You can add a phone number on your Profile page. Builders also give us an organization name and support contact details.

Information about your home. The Service exists to hold a record of your house, so everything you enter is personal data about you and your property: the address, the systems and appliances with their brands and serial numbers, maintenance tasks and their history, projects and their costs, warranty dates, inventory, vendors, finances you choose to track, and notes. Documents and photos you upload (manuals, receipts, policies, inspection reports, pictures of rooms) are stored as files.

Information from a builder. If a builder hands you a home through Property Station, the builder enters the home's address, closing date, systems, finishes, shutoff locations, and documents before you claim it. When you claim the home that record moves to your account, and the builder can no longer see it. The builder keeps a record that the home was handed off, and receives the warranty claims and service requests you choose to send them.

Usage and technical data. Our servers log requests: the pages and API routes you load, the time, your IP address, and your browser's user agent string. We use these logs to keep the Service running, to find and fix errors, and to investigate abuse. We do not run advertising or third-party analytics trackers on the Service. See the Cookie Settings page for the short list of cookies and browser storage we use.

Messages you send us. If you contact support or use the contact form, we keep the message and our reply.

How we use it

We use the information above to:

  • Provide the Service: store your home record, schedule reminders, generate reports, and show it back to you.
  • Send the notifications you turn on: maintenance due, overdue alerts, warranty expiry, weather alerts for your address, and, if you enable it, a weekly email digest.
  • Operate the builder handoff: deliver claim invitations, connect a claimed home to its builder, and route warranty claims and service requests between you and the builder.
  • Run the AI features described below, when you use them.
  • Keep the Service secure, prevent abuse, and meet our legal obligations.
  • Answer your questions and improve the Service based on how it is used.

We do not sell your personal information, and we do not share it with third parties for their own marketing.

AI features

Some features send information to an AI model to do their work: the Assistant answers questions about your home using your own records; Scan Receipt reads a receipt image you upload and suggests a title and notes; Insights, Photo Analysis, Design AI, and Shopping research work the same way on the content you give them.

For these features we send the relevant content (your question, the records needed to answer it, the image you uploaded) to Anthropic, whose Claude models power the feature, under Anthropic's commercial API terms. We do not use your content to train AI models, and we have not authorized Anthropic to do so. AI output is generated automatically and can be wrong; it is information to help you decide, not professional advice. See the Terms of Service for more on that.

If you would rather not use AI features, do not use them; the rest of the Service works without them.

Who processes data for us

We use a small number of service providers to run Property Station. Each one processes data only to provide its service to us.

If we introduce paid plans we expect to use Stripe to process payments; card details would go to Stripe and never touch our servers. We will update this policy when that happens.

Sharing you control

  • Share links. On a property page you can turn on a public share link. Anyone with the link can see the home's address, details, systems, and rooms, without signing in. It does not include documents, maintenance history, finances, inventory, photos, or contacts. Turn it off at any time and the link stops working.
  • Builder handoff. Claiming a home from a builder transfers the builder's record to you. Warranty claims and service requests you send go to the builder's team, along with the messages you write on them.
  • Builder teams. In the builder portal, members of the same organization can see the organization's homes, models, communities, and requests, according to their role.
  • Exports. You can download your data at any time from Settings → Data Export or the Download Center.

We may also disclose information when the law requires it, to protect the rights and safety of users or the public, or as part of a merger or sale of the business, in which case this policy continues to apply to the transferred data.

How long we keep it

We keep your account and your home record for as long as your account exists, because the record is the product. Uploaded files are kept until you delete them or delete your account. Server logs are kept for a limited period for security and debugging and then discarded.

To delete your account and everything in it, email support@propertystation.com from the address on the account. We will confirm and delete it, allowing a short period for backups to cycle out. Builders who leave a builder organization lose access immediately; their account is not deleted.

Your choices and rights

  • Access and export. Your record is visible in the app, and Data Export downloads all of it.
  • Correction. Edit anything in the app; your name and phone are on the Profile page.
  • Deletion. Delete individual documents, tasks, and records in the app, or ask us to delete the account.
  • Notifications. Every notification type has a toggle under Settings → Notifications.
  • Sharing. Share links are off by default and can be turned off at any time.

Depending on where you live you may have legal rights to access, correct, delete, or restrict the use of your personal information, or to object to certain processing. Email support@propertystation.com to exercise them; we will verify that the request comes from the account holder and respond within the time the law allows. We will not treat you differently for exercising a right.

Children

The Service is for adults. We do not knowingly collect personal information from anyone under 18. If you believe a child has created an account, tell us and we will delete it.

Security

Data is encrypted in transit and at rest. Each account's data is isolated by database access rules that are enforced on every query. Uploaded files are stored privately and served through short-lived links. The Security page describes our practices in more detail, and how to report a vulnerability.

Changes to this policy

When we change this policy we will update the date at the top. For changes that affect how we use your data in a meaningful way, we will also tell you in the app or by email before the change takes effect.
